Special Assistant to the Vice President for Intercollegiate Athletics

Reporting to the Vice President (VP) for Intercollegiate Athletics (ICA) the Special Assistant provides strategic and operational support to the VP, Leadership Team, and Intercollegiate Athletics Department.

This role comprises administrative, and finance/budget support, project management, communication (oral and written) flow, and overall support of the Office of the VP for ICA. This role will oversee a subset of ICA agreements, memberships, and liaisons with the university, B1G, NCAA, and others. This role proactively will manage and maintain a communication strategy to ensure consistent and comprehensive communication to and from the VP's office and will serve as key contact for and coordination with other ICA departments. The successful candidate should demonstrate a collaborative team approach to work, analytical and strategic thinking, and the ability to translate visions into actions. In addition, excellent oral and written communication and customer service skills including influencing and facilitating resolution with a wide variety of internal and external ICA and University stakeholders is strongly desired.

The successful candidate should possess strong problem solving and critical thinking skills and the ability to work in a fast-paced and complex work environment with the ability to adapt to change and unforeseen circumstances daily. The candidate also should have a demonstrated history of and continuing confidential, integrity and ethical behavior. The successful candidate should have strong coaching and developing skills and a strong sense of self awareness and may assume other duties or assignments related to strategic planning, special projects or University-wide initiatives as required. Additionally, this role will support and embrace ICA's emphasis on Diversity, Equity, and Inclusion and provide support to the VP, ICA on continued support and department initiatives.

General responsibilities also include the supervision, and management of the administrative support staff to ensure appropriate office coverage, customer service and internal departmental management.

The successful candidate must be able to maintain confidentiality will all sensitive information given the nature and role of the Office of the VP for ICA.

Duties include but are not limited to:
  • Serve as the liaison between the VP for ICA and ICA departments and other key stakeholders, ensuring smooth and timely coordination of communication, planning, projects, etc.
  • Analyze, develop, design, and deploy strategic and operational projects, communication pieces, speeches, etc., consistent with the VP's priorities, strategic plan, and department goals and objectives
  • Develop and produce organized presentations and other appropriate communication pieces
  • Manage and deploy assets and resources, inventories, etc., including but not limited to ticket allocations, etc., within established protocols, NCAA, and regulatory guidelines, etc.
  • Travel and varied hours, including evening and weekend event planning and attendance at events, are crucial to this position


Typically requires a Bachelor's degree or higher or an equivalent combination of education and experience. Experience in sports management, communication, and/or business setting preferred. This position requires the following clearances: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check.
